Cancellation and No-Show Policy

Northern Frontier Health values your time and strives to provide timely telehealth services to patients located in states where Northern Frontier Health lawfully provides telehealth services. Because appointment times are reserved specifically for each patient, we ask that you follow the cancellation and no-show policy outlined below.
1. Appointment Cancellations
Patients may cancel or reschedule a telehealth appointment by contacting Northern Frontier Health through our website, patient portal, telephone, or email, subject to applicable law and the availability of the applicable telehealth platform and communication methods.
24 Hours or More Notice
Appointments canceled or rescheduled at least 24 hours before the scheduled appointment time will not incur a cancellation fee.
Less Than 24 Hours Notice
Refunds generally will not be issued for appointments booked through the website. However, at the discretion of Northern Frontier Health, the appointment may be rescheduled once.
2. No-Show Policy
For purposes of this policy, a no-show occurs when a patient does not attend or complete a scheduled telehealth appointment, including when a patient:
- Fails to join, answer, or otherwise be available for a scheduled telehealth appointment through the agreed telehealth platform or communication method, or
- Joins more than 10 minutes late for the scheduled telehealth appointment without prior communication.
No-show appointments may result in forfeiture of any prepaid appointment amount, but only to the extent permitted by applicable law, consistent with applicable payer requirements, and disclosed to the patient in advance.
3. Late Arrival to Telehealth Visits
Patients are expected to join their telehealth appointment through the applicable telehealth platform or other agreed communication method at the scheduled time.
If a patient joins more than 10 minutes late, the provider may:
- Shorten the appointment to fit the remaining time, or
- Require the appointment to be rescheduled.
Rescheduled appointments due to late arrival may be treated as a late cancellation or no-show, with any applicable charge or forfeiture of a prepaid appointment amount imposed only to the extent permitted by applicable law, consistent with applicable payer requirements, and disclosed to the patient in advance.
4. Provider Cancellation
If Northern Frontier Health must cancel an appointment due to provider illness, technology failure, connectivity problems, patient location or licensure limitations, safety concerns, or other unforeseen circumstances affecting telehealth services, patients will be offered the option to:
- Reschedule the appointment, or
- Receive a full refund.
5. Repeated Missed Appointments
Patients with multiple missed appointments or repeated late cancellations may, consistent with applicable law and practice policies, be dismissed from the practice or may no longer be permitted to schedule non-emergent telehealth appointments; provided, however, that any such action will be carried out in a manner consistent with applicable legal and ethical obligations regarding notice, continuity of care, and patient safety.
